Getting Started As a Client 

We want you to feel at ease with how we onboard, it's clear and easy to follow.

Here is a short list of things we need to get started.

We exclusively use QuickBooks Online for your bookkeeping. Either you are already setup or we will need to create an account. 

Source documents aka:

  • Business expenses, receipts, invoices  and paid bills.

  • Bank Statement.

  • Credit Card Statement 

  • ​Other 

You'll need: 

* Business Bank  Account

* Business Credit Card (if personal it is only used for business)

* Accountant

Onboarding Checklist

New Business 

  • Setup of QuickBooks; subscription, payment.  

  • Operational checklist completed.

  • Gather all source documents.

  • ​Share all source documents. 

  • Connect bank feeds in QuickBooks.

  • Bookkeeper starts with a review of all source documents, implements the COA.

  • Cleans up any previous months - this is a separate service. (see cleanup services for pricing and detail ) and gets books up to date.

Onboarding Checklist

Existing  Business 

  • Send invitation to bookkeeper (firm)  to join your QuickBooks account.

  • Connect with previous account manager or bookkeeper for all procedures and systems.

    • Train with them to be able to continue books and continue month end.

    • Go through checklist of all month end documents and systems with client.

  • Client gathers all source documents and other month-end internal systems set fourth from the business. 

  • ​Client Shares all source documents and other needed month - end information.

Please note this does not include bookkeeping cleanups, see below.

New or Existing Cleanup of Books 

 

  • We accept books that are within one year behind and have not been comingled with personal & business accounts.

  • Cleanups are not done within 4 months of tax season, to prevent missed deadlines.

  • Cleanup dates are between the months of May - October 1st.

  • Owner is willing to incorporate best practices, communicate and keep separate personal and business accounts. 

  • Agree to use QuickBooks online for all cleanup and future bookkeeping.

  • $ pricing is based on consultation and is a flat rate.

  • While it is not illegal to use personal bank accounts for business purposes as a sole proprietorship or a Corporation. It is not something Hello Monday can allow due to liability issues, incompatibility with QuickBooks Online and best practice standards set fourth by GAAP.

  • If you have a personal credit card, but use it solely for business expenses, this is acceptable.

  • If you paid for a business expense with a personal cash or account, we then expect to have a detailed invoice, receipt, regarding the transaction. And a transfer out of your business account to repay this.

  • If you have reoccurring bills coming out of a personal credit card for business expenses.

    • We expect to see individual transaction payments that match your statement - sent from your business bank account. Or a lump sum that is calculated exactly to what was spent.

 

  • If you have been comingling your personal and business accounts, have books that need a cleanup and would be interested in our services.

    • We would need you to stop all comingling of personal and business accounts.

    • Open a business banking account.

    • Designate a credit card to business or apply for one.

    • Have all bank statements available for cleanup use.

    • Have all credit card statements.

    • All source documents.

    • Agree to full transparency, communication and support of the process.

    • Please note, we will assess each business to ascertain if they are compatible with Hello Mondays protocols, business setup and best practices.​
